Your next audit

KYC by email works until the audit

The auditor asks

"Which version of the questionnaire did this client answer?"

By email

Fwd: passport + KYC form v2.docx

The questionnaire is a Word file.

Answers come back in different versions, by email, and nobody can say which one is current.

In Trust Circle

One questionnaire, versioned, answered on a secure page.

The auditor asks

"When does this client need to renew?"

By email

KYC renewals.xlsx · last edited 14 months ago

Renewal dates live in a spreadsheet.

Higher-risk clients need fresh data every year, and the reminder depends on one person.

In Trust Circle

Renewal requests go out by themselves, 30 days before expiry.

The auditor asks

"Can you show the answers from 2024?"

By email

Search: "KYC 2024" · 0 results

The old answers are gone.

You know the client was checked, but you can't show what they said, or when.

In Trust Circle

Every answer kept with its questionnaire version and date.

Questionnaires

Your questionnaire, your rules

Start from the standard template, the simplified template, a blank form or a copy of an existing one. Edits stay in draft until you publish a new version. Requests already sent keep the version they were sent with.

  • PEP questions with follow-ups only when the client answers yes

Risk scoring

A risk level, not just answers

Points per answer and per country list give Low, Medium, High or Do not proceed, with a recommended action for each level. A sanctions answer can be set to stop onboarding.

Points in the example are for illustration. You set the points for your own questionnaire.

People directory

One record an auditor can read

Every client in your People directory shows their KYC status, the questionnaire version they answered, the risk level and the date their answers run out. Download each person's history. When you publish a new version, ask everyone on the old one to answer again.

FAQ

Questions about KYC in Trust Circle

What data does a KYC request include?

The client's general identity information, the picture of their ID document and their biometric picture, plus their answers to your questionnaire. You can download each one separately or all together.

Can a client decline?

Yes. Nothing is shared without the client's consent. You can send a new request later. A request with no answer expires after 30 days.

Who in my firm can see the data?

The Owner, Admins and Users of your business account. External members of your Trust Circles never see it.

Can we use our own questionnaire?

Yes. Start from the standard template, the simplified template, a blank form or a copy of an existing one. Edits stay in draft until you publish a new version, and requests already sent keep the version they were sent with.

Does Trust Circle screen clients against sanctions lists?

Not itself. The client answers sanctions declarations, and your staff record the screening provider, lists checked, match result and reviewer in a section the client never sees.

How often do clients renew their answers?

You pick a renewal period for each questionnaire: 6, 12, 24 or 36 months. Trust Circle sends the next request 30 days before the answers expire. Under AMLR, client information must be updated at least every year for higher-risk clients and every 5 years for everyone else.

Which plans include KYC?

The Professional plan, with the KYC add-on at €100 a month. On Enterprise, KYC is part of a custom plan. See plans.

Does identity verification cost extra?

No. Identity verification is included in every plan, from Micro to Enterprise, with no limit on how many clients you verify. Your client doesn't pay anything either.
